Client Acknowledgement
Cancellation Policy for Guiding River
Dear Client,
At Guiding River Doula and Birth Services, we prioritize providing timely and attentive care to all our clients. Please review the following appointment cancellation policy which is designed to ensure efficient scheduling and availability for all.
Definitions:
- “No Show” refers to the absence of a client at the scheduled appointment.
- “Same Day Cancellation” pertains to any cancellation made by the client less than 72 hours before their scheduled appointment.
- “Late Arrival” denotes a client arriving 15 minutes after the scheduled appointment time.
Policy:
As our appointments are conducted at your home, timely attendance is crucial for efficient service delivery. To make any changes to your scheduled appointment, kindly provide us with at least 72 hours’ notice by email.
Cancellation Fees:
Cancellations made within 72 hours of the confirmed appointment time will result in the assessment of the full agreed-upon service fee. However, if cancellations are made before the stipulated 72-hour window, no fees will be incurred, and we can discuss and arrange an alternate appointment date.
Please note that if we do not receive a written cancellation notice, the cancellation policy will remain in effect.
Payment for Confirmed Shift Time:
You are expected to pay the full amount of the confirmed shift time regardless of whether you return home earlier or take over care of the child before the end of the shift.
Avoidance of Delays:
Please make an effort to avoid delays. In case of a delay, please notify us by text or call as soon as possible. If you arrive or take over care 15 minutes past the confirmed time, an additional 1(one) -hour charge will be added to your invoice.
Rescheduling and Availability:
Rescheduling of appointments is subject to the availability of Guiding River. We will make every effort to accommodate your preferred rescheduled date and time, depending on our availability.
Utilization of Services:
To optimize our scheduling and services, contracted hours must be utilized within 60 days of the baby’s birth or after signing the contract if the baby is already born. Failure to use the contracted hours within this timeframe will result in forfeiture of the unused hours, and the contract payment will be due in full unless otherwise agreed upon in writing.
Client Responsibilities:
It is the client’s responsibility to schedule prenatal and postpartum visits with the Doula. No refunds will be issued for any unused prenatal or postpartum visits.
Dismissal Policy:
In the event of three (3) documented “same-day cancellations,” the client may be subject to dismissal from Guiding River Services. Dismissals are determined by the Doula only, following Guiding River Services guidelines.
Client’s Home Appointments:
As our appointments take place in the comfort of your home, any delays or cancellations related to accessibility or changes in location should be communicated to us at the earliest convenience.
Termination or Cancellation:
Either party intending to terminate or cancel services must provide written notice of cancellation or termination.

By continuing to engage our services, you acknowledge and agree to adhere to the Appointment Cancellation Policy outlined above. Please note that these terms are subject to periodic updates and amendments by Guiding River Services.
